Begin with a bounded role.
Write down the conversations the agent should handle. Routine questions, appointment requests, and initial routing are different jobs from making binding commitments. Give each workflow a defined scope and a clear owner.
Give it information you can maintain.
Keep the information source understandable and current. Decide who updates service details, availability, prices, and policies. Make it clear what the agent should do when an answer is missing or uncertain.
Make escalation part of the experience.
Decide when a person takes over, how the request reaches them, and what context they receive. The customer should understand the next step. Define an alternative contact route when a team member is unavailable.
Review real conversations.
Start with an appropriate pilot and review outcomes with the people who own the workflow. Look for unresolved questions, repeated escalations, and incorrect answers. Refine the information and rules before expanding the role.
