Front-desk and follow-up automation for specialty practices.

For independent and multi-location specialty practices, we build administrative automation around the practice management system and EHR you already run: reminders, recall, intake, authorization tracking and consent-based patient messaging. Clinical decisions stay with your clinicians.

Where practices start

Six places to take load off the front desk.

Each can run on its own as a defined-scope project or join a larger practice program. Scope and integration boundaries are agreed after the briefing.

Front desk and scheduling

Reminders, rescheduling and no-show follow-up built around your existing scheduling system, for patients who have opted in to calls or messages.

Recall and follow-up

Recall intervals set to your specialty's rules, not a generic template, and post-visit follow-up sequences your staff can adjust and approve.

AI Employees →

Intake and authorizations

Intake forms delivered before the visit and returned to staff for review, and open prior authorizations tracked in one queue.

Automation & Integration →

PM/EHR integration layer

Connections between your practice management system and the tools around it (texting, telehealth scheduling links, patient portal and payments) through the interfaces your vendor provides.

Healthcare Operations →

Practice operations reporting

Payer mix, denial patterns, schedule use and quality-measure progress in one view. Operational reporting, not clinical decision support.

Software & Applications →

Advisory for practice leaders

AI roadmap, technology stack review and vendor consolidation for physician leaders, managing partners and multi-location groups.

What we don't do

The lines we don't cross.

A practice should know what a vendor will not touch before anyone logs in to the PM system.

No clinical decisions. No clinical decision support, diagnosis or treatment guidance, and nothing that would function as software as a medical device. Clinical tools belong with vendors that hold the regulatory clearance for them.

No EHR migrations. When a group consolidates platforms, we build the workflow layer and leave the migration itself to specialist health IT firms.

No parallel patient record. Data moves through the workflow; the chart stays in your EHR.

No telehealth hosting. We can deliver visit links and follow-ups. We don't host the video session or process encounter content.

No clinical templates. Specialty templates inside your EHR stay with your EHR vendor. We work around the clinical record, not inside it.

No clinical messaging. Patient messages stay administrative: scheduling, reminders, forms and follow-up. No clinical advice or triage.

No cold outreach. Calls and texts go only to patients who have opted in, and staff approve each outbound campaign before it runs.

Our focus

Healthcare administration

Our healthcare work focuses on healthcare administration. We do not provide clinical decision support, diagnosis or treatment guidance, we are not a contract research organization, and we do not replace validated clinical systems of record.

OrenGen does not currently hold CMMC, FedRAMP, DoD Impact Level, CJIS or HITRUST authorizations, is not a 21 CFR Part 11-validated system, and does not maintain corporate personnel security clearances.

Scenarios

Four ways a practice might start.

These are illustrative scenarios that show the kind of work we scope. They are not client engagements.

Illustrative scenario

A front-desk pilot

A three-provider dermatology practice loses hours to reminder calls and no-shows. A defined-scope pilot covers reminders, no-show follow-up and intake form delivery for opted-in patients, measured against the practice's own no-show rate and front-desk hours.

Illustrative scenario

Connecting the stack

An orthopedic group runs a PM system, a separate texting tool, a telehealth platform and a payment portal that don't share data. An integration layer passes appointments, visit links and balances between them so staff stop re-keying.

Illustrative scenario

Recall that fits the specialty

An ophthalmology practice needs recall intervals that differ by condition and procedure. Cadences are built to the practice's rules, and staff approve each campaign before it goes out.

Illustrative scenario

Standardizing across locations

A practice group has acquired locations on different EHRs. An advisory engagement maps the stack across sites and separates near-term workflow wins from the longer EHR decision, which stays with the group.

Practice administrator FAQ

Questions practice leaders and administrators ask.

What does "integration" mean here?

Workflow around your practice management system, not a copy of it. Appointment data flows to a reminder workflow; completed intake forms go to staff for review. We work through the interfaces your vendor provides, and the scope is agreed in writing after the briefing. We do not keep a parallel patient record.

We don't have a compliance officer. How do we evaluate you?

We describe, in plain language, the controls a design includes: minimum necessary access, encryption in transit and at rest, audit logs, human review and retention settings. We don't attach HIPAA compliance labels to our services. Raise Business Associate Agreements at the start of your briefing; the agreements you require should be in place in writing before any PHI is shared with us.

What does it cost?

Pricing on request. Practice engagements are scoped individually, so ask about pricing in your briefing or through Contact Sales.

Can you work with our telehealth platform?

At the workflow layer: scheduling, delivering visit links and follow-up after the visit, depending on what the platform's interfaces allow. We don't host the video session or process clinical encounter content.

We're consolidating practices on different EHRs. Can you help?

With the workflow layer and the plan. We don't undertake EHR migrations, but an advisory engagement can map the stack across locations and set up consistent scheduling, messaging and reporting while each site stays on its installed system.

Can workflows be specific to our specialty?

Yes, at the operational level. Recall cadences, intake forms and reminder timing differ between specialties, and we build to yours. Clinical templates inside your EHR stay with your EHR vendor.
